Operations Coordinator (Full-time)

Venture Café St. Louis is a nonprofit organization with a mission to connect innovators to make things happen. We broaden the application of innovation to include a wide range of industries and communities, build a more diverse and inclusive innovation economy, and connect innovation communities locally, nationally and internationally.

The latest program of Venture Café St. Louis is Innovation Hall. The first of its kind in the region (based on our sister organization’s District Hall in Boston), Innovation Hall offers free drop-in workspace for entrepreneurs in the region and the largest event space in the Cortex area, plus an on-site restaurant and coffee bar.

This is a fast-paced and integral role in our growing not-for-profit organization. Working with clients across the entrepreneur, start up, business, academic, government communities, the Operations Coordinator will service events of all types sold by the Event Manager. In addition, they will be our eyes and ears for the daily operation of the Civic Lounge and event spaces. It’s in a very unique space: a highly visible and active gathering place specifically designed for the innovation community to meet and connect. This is a one-of-a-kind opportunity to learn the ins-and-outs of running both an event space and a mission-driven not-for-profit as part of a small, effective team.

This is a full-time position based in St. Louis, MO in the Cortex district.

RESPONSIBILITIES:

Physical Space Operations

  • Oversee facilities management, including: work orders, operations projects, vendor communication, and hospitality partner communication
  • Work with Events Manager to ensure event processes and systems are efficient and implement improvements
  • Assess event technology needs and building improvements

Events and Logistics

  • Setting up event spaces (including receiving rentals, moving in-house furniture or simply straightening up conference rooms)
  • “Hosting” events – greeting clients upon arrival, unlocking conference rooms, updating directional signage, providing a/v tutorials and a number of other tasks to make sure the event goes smoothly.
  • Daily restocking of conference rooms and event spaces with dry erase markers and cleaning supplies.
  • Organize and update signage for events in the space on a daily basis.
  • Building strong professional relationships with clients in the community.

Financial Operations and Tracking

  • Maintain event metrics spreadsheet and database
  • Reviewing monthly closeouts when necessary
  • Assist with event revenue projections and revenue targets
  • Work with Director on implementing and tracking approved budgets

QUALIFICATIONS:

  • Excellent customer service, communication, problem solving, and proofreading skills
  • Proficient in Google Suite, event planning software, Canva or other design programs
  • Experience coordinating multiple small-to-medium-scale events at the same time
  • Comfortable with failure; Commitment to improvement
  • Creative and flexible
  • Relentless attention to detail
  • Long-term commitment to and passion for mission-driven work
  • The ability to lift 25-30 pounds regularly

Salary: $30,000—$35,000 plus benefits:

  • The organization provides employer-paid medical, dental, vision, and life insurance. 100% of health care costs.
  • Laptop and parking included.
  • Two weeks of paid time off (PTO) in the first year — increasing to three weeks after the second full year.

  • One (1) one-hour massage per month from the on-site massage therapist.
